Our Commitment

Fair & Transparent Policy

We understand that travel plans may sometimes change. Our cancellation and refund policy is designed to be fair to both our clients and our company while covering advance reservations, park fees, accommodations, transportation, and operational costs.

Booking Confirmation

• A booking is confirmed after receiving the agreed deposit payment.

• Full payment must be completed before the start of the tour, safari, trekking, volunteering program, or holiday package.

Cancellation by the Client

All cancellation requests must be made in writing by email or WhatsApp. The cancellation date will be the date we receive your written request.

More than 60 days before arrival 90% refund
30 – 59 days before arrival 70% refund
15 – 29 days before arrival 50% refund
7 – 14 days before arrival 25% refund
Less than 7 days before arrival or no-show No refund

This tiered structure is commonly used by tour operators to balance supplier costs and client flexibility.

Non-Refundable Costs

Some expenses may already be paid to hotels, airlines, national parks, or other suppliers and may be non-refundable, including:

  • Domestic or international flights
  • Tanzania park fees
  • Last-minute hotel bookings

Changes to Bookings

• Date changes requested more than 30 days before departure may be made free of charge depending on availability.

• Changes requested within 30 days may incur additional costs.

• All changes are subject to availability.

Cancellation by the Company

We reserve the right to cancel or modify a tour due to:

  • Severe weather conditions
  • Safety or security concerns
  • Natural disasters
  • Government restrictions
  • Insufficient group participation
  • Unforeseen operational circumstances

In such cases, clients will receive:

  • An alternative tour option, or
  • A full or partial refund depending on recoverable costs.

Force Majeure

We are not responsible for delays, changes, or cancellations caused by events beyond our control, including:

  • Natural disasters
  • Pandemics
  • Political unrest
  • Flight cancellations
  • Border closures
  • Government actions

Where possible, we will offer alternative dates, travel credits, or partial refunds.

No-Show Policy

Clients who fail to arrive for their scheduled tour, safari, transfer, or trekking without prior notice will not be eligible for a refund.

Refund Processing

• Approved refunds will be processed within 7–21 business days.

• Refunds will be made using the original payment method where possible.

Travel Insurance

We strongly recommend all travelers purchase comprehensive travel insurance covering:

  • Trip cancellation
  • Medical emergencies
  • Emergency evacuation
  • Personal belongings
  • Flight disruptions

Travel insurance is widely recommended across the tour industry to protect travelers from unexpected cancellations and losses.

Acceptance of Terms

By confirming a booking and making payment, clients acknowledge that they have read, understood, and accepted this cancellation and refund policy.

Contact us immediately at info@memorablevacationafrica.com or via WhatsApp at +255 758 999 932 to initiate your cancellation request.

No Refund for No-Show

Please inform us at least 24 hours in advance if you need to reschedule. Failure to arrive without notice results in 100% cancellation fee.

Note: This cancellation and refund policy applies to all tours, safaris, trekking packages, volunteering programs, and holiday packages offered by Memorable Vacation Africa.
